Salesforce QuickBooks Integration - Online & Desktop

The ERPPlugs QuickBooks-Salesforce connector syncs Accounts, Contacts, Products, Opportunities, and invoices between Salesforce and QuickBooks. It supports QuickBooks Online through its REST API and QuickBooks Desktop through a secure local agent. Closed-won Opportunities can create QuickBooks invoices or estimates, and invoice and payment status is written back to Salesforce.

Connect Salesforce to QuickBooks Online or QuickBooks Desktop so closed deals become invoices and payment status shows up on the Salesforce Account.

Overview

What this connector does

Small and mid-sized teams often sell in Salesforce but bill in QuickBooks, which leaves someone re-typing deals into invoices and chasing payment status by email. This connector maps Salesforce Accounts to QuickBooks Customers, Opportunity products to invoice line items, and QuickBooks payments back to the Salesforce record. It works with both QuickBooks Online and QuickBooks Desktop, so you can keep the accounting setup you already have.

Who It's For

Built for teams that need reliable automation

The QuickBooks <-> Salesforceconnector fits into finance, ops, and revenue teams that have outgrown copy-paste — the ones whose month-end close should not depend on a spreadsheet, whose ledger accuracy should not depend on human vigilance, and whose sales velocity should not stall behind an accountant's inbox.

Below are the roles that get the fastest return the moment this connector goes live. If yours is on the list, the payback is typically visible in the first billing cycle.

Bookkeeper or Accountant

Wants invoices to arrive in QuickBooks with correct customers, items, and tax codes instead of being typed from a CRM export.

Sales Rep or Account Owner

Needs to see whether a customer has paid before pitching a renewal or upsell, without leaving Salesforce.

Founder or Operations Lead

Runs a small team on Salesforce and QuickBooks and wants fewer manual handoffs without hiring an integration developer.

Frequently Asked Questions

Yes. ERPPlugs connects to QuickBooks Online through the Intuit REST API with OAuth 2.0. For QuickBooks Desktop, ERPPlugs uses a lightweight agent installed on the machine that hosts your company file. The same Salesforce-side mapping rules apply to both.

ERPPlugs can create a QuickBooks invoice or estimate when an Opportunity reaches a stage you choose, such as Closed Won. Line items come from the Opportunity products, matched to QuickBooks Items. The invoice number is written back to the Opportunity so the rep can see it.

ERPPlugs matches Salesforce Accounts to QuickBooks Customers using rules you configure, such as email, display name, or an external ID field. A match updates the existing record instead of creating a new one. Records that cannot be matched confidently are listed for review.

Yes. When a payment is applied to an invoice in QuickBooks, ERPPlugs updates the invoice status and balance on the related Salesforce record. Account owners can then see paid, partially paid, or overdue invoices without opening QuickBooks.

ERPPlugs can either hold the invoice for review or create the missing Item, depending on the setting you choose. The exception is logged with the Opportunity it came from. This prevents invoices with wrong line items from being posted silently.
