SAP B1 ↔ Loop Returns — Auto Credit Notes + Restock

The SAP Business One ↔ Loop Returns connector by ERPPlugs listens to Loop Returns webhooks for every return event (refund, exchange, store credit), creates the correct SAP B1 document (Return / Credit Memo / Journal Entry) with the original invoice reference intact, and restocks inventory to the warehouse the return physically lands at. Exchange orders create a new Sales Order automatically; store credit posts a Journal Entry with the buyer's balance held against a dedicated GL. Eliminates the manual return-processing queue.

Every Loop Returns event (refund, exchange, store credit) auto-creates the right SAP B1 document with original-invoice traceability and warehouse restock.

Overview

What this connector does

Loop Returns is the returns platform of choice for mid-market D2C brands — 4,000+ merchants use it because it turns returns into exchanges + store credit at a rate rules-based systems cannot match. But the SAP B1 side of the flow is where the work still lives: every refund needs a Credit Memo, every exchange needs a new Sales Order, every store credit needs a Journal Entry, and every restocked SKU needs to hit the right warehouse. Most Loop customers on SAP B1 have an ops person doing this by hand, holding a browser tab per order.

The ERPPlugs SAP B1 ↔ Loop Returns connector subscribes to Loop's webhook events end-to-end. A refund event fires the connector to create a Credit Memo in SAP B1 linked to the original invoice, with the refund amount, restocking fee (if any), and shipping-refund portion split to the correct GL accounts. An exchange event creates a new Sales Order for the outgoing item and a Credit Memo for the returning one in the same transaction — netting the difference against the buyer's payment method. A store credit event posts a Journal Entry holding the credit against a dedicated "Store Credit Liability" GL account, and the next order from that customer draws down the balance automatically.

Inventory restock is warehouse-aware. Loop tells the connector which warehouse the return physically landed at (Loop supports multi-node returns via Happy Returns drop-off + return-bar network); the connector restocks to that warehouse in SAP B1 rather than a generic default. Damaged returns are routed to a Damage warehouse per your quality-inspection rules and never re-enter available inventory.

Why It Matters

Key Benefits

Zero Manual Returns Processing

Every Loop event auto-creates the right SAP B1 document — no ops person keying credit memos.

Warehouse-Aware Restock

Returns land in the physical warehouse Loop received them at, damaged items diverted to Damage.

Store Credit Held as Liability

Dedicated GL account keeps store credit visible as a real balance-sheet item, not a rounding error.

Full Audit Trail

Every Credit Memo, Sales Order, and Journal Entry links back to the RMA + original invoice.

Frequently Asked Questions

The ERPPlugs SAP B1 ↔ Loop Returns connector subscribes to the full Loop webhook set — return_created, return_approved, return_received, exchange_created, refund_created, store_credit_issued, and warranty_claim. Each event fires the right SAP B1 document creation (Credit Memo, Sales Order, or Journal Entry) with the original invoice reference preserved for audit.

When Loop marks a return as received (with the physical warehouse or return-bar node it landed at), the ERPPlugs connector restocks that SKU to the corresponding SAP B1 warehouse. If your quality-inspection rules in Loop mark the item as Damaged, the connector restocks to a separate Damage warehouse instead of your available-to-sell warehouse — so damaged items never accidentally get resold.

An exchange in Loop is a single buyer transaction with two SAP B1 documents: a Credit Memo for the returning item and a Sales Order for the outgoing item. The ERPPlugs connector creates both in one transaction and lets SAP B1 net the price difference against the buyer's payment method — either charging the buyer for an upgrade or refunding the difference for a downgrade. Both documents carry the same RMA reference for traceability.

When Loop issues store credit, the ERPPlugs connector posts a Journal Entry that credits the buyer's "Store Credit Liability" balance against a dedicated GL account. That balance surfaces as a field on the SAP B1 Business Partner record. When the buyer's next order comes through (from Shopify, Amazon, TikTok Shop, or any other connected storefront), the connector reads the balance and applies it as a Payment against the new invoice, drawing down the liability.

Yes. Loop's Workflow engine decides whether a return becomes a refund, exchange, or store credit based on your rules. The ERPPlugs connector receives whichever event Workflow emits and creates the matching SAP B1 document — the connector is Workflow-agnostic and stays correct even when you tweak your Loop workflows later.

Loop ships a first-party Shopify + NetSuite integration but nothing for SAP Business One — SAP B1 customers have historically written custom middleware or done the work by hand. The ERPPlugs connector fills that gap with the same event-driven pattern Loop uses natively, so the SAP B1 side of the flow matches the depth of what Shopify + NetSuite customers already get.
